Viewing flexibility will be covered in a minute, but most of the time there are elements that I don’t need to see, I just want an output that can be calculated. When looking to display the information I am storing in a database, I want the ability to see all that I need at a glance. The numbers at the bottom of the table cannot be referenced by a formula, so if I am looking to do more with the number calculated, I would need to consider using a rollup or a formula. It is worth adding at this point, I also take into consideration what I am going to be doing with the numbers afterwards. If I can’t find a way to use a rollup or table function for calculations, then will I make a formula to do the calculation for me. Or I will see if I can use the table calculations to display the number I am looking for, manipulating the linked database feature to use filters to find the information I am looking for. If I am looking at calculating something, I will look to see if I can use a rollup to get the number. I will go into further detail about the types of formulas later on but, I will always look for a solution that doesn’t require a formula first. Then, depending on those answers I will then look into what type of formula I may need. Is this going to solve a friction point?.

A formula uses current information in a database, to form a dependant output. At some point, you will look into the advanced properties and see relation, rollup and formula.įormulas can do 1 thing, but it can lead to many other options. Then I realised databases were a more efficient way to organize what I needed to do, with filter and sorting abilities. My first Notion workspace was a page with what seemed like an endless list of to-do blocks. I’ve been using Notion for almost 3 years at this point for my task, project, knowledge, and business management.
